About This Opportunity

The Distribution Center Administrator provides support within the Distribution Center. They perform administrative duties in a Distribution Center in accordance with standard administrative office procedures (this includes Time Coding, Vacation Management, Overtime Management, Tech Scheduling, Parts Management, Inventory Management, Equipment and Fleet Management) while adhering to the CBA.

Responsibilities

  • Prepare delivery reports on a daily/weekly basis, coordinate with dispatch and technicians, investigate and problem on daily basis
  • Responsible to enter time and validate timecards as a timekeeper for unionized employees, while adhering to the CBA; this includes Overtime (OT) Coordination
  • Responsible for Vacation and Schedule Management
  • Responsible to answer incoming phone calls for the facility on a multi-line phone and greeting and responding to inquiries from employee employees, visitors, vendors and the general public
  • Provide support for administrative work such as booking meeting rooms, organizing catering, and organizing and distributing mail.
  • Receive, send courier packages and distribute parts as needed
  • Assist with the general financial and operating analytics and activities of the organization
  • Responsible for assisting with Fleet and Maintenance Oversight
  • Coordination of vendor communications and payment
  • Required to drive a Coca-Cola service van as needed (Support parts delivery)
  • Use a forklift as needed (license will be provided)

You may be required to perform other job-related duties as assigned, within your scope of practice.  

Qualifications

  • Highschool diploma required
  • Post-Secondary Education in a relevant field preferred
  • 2+ years of business administrative related experience in a fast-paced environment
  • Valid Forklift certificate or willing to receive Forklift training
  • Valid G driver’s license with a clean driving record with no major violations over the last three (3) years
  • Experience working in unionized environments is preferred
  • Working knowledge of various computer programs: Word, Excel, SAP, etc.
  • Effective verbal and written communication skills
  • Strong interpersonal and organizational skills with excellent time management skills
  • Ability to handle multiple tasks simultaneously in a fast-paced environment
  • Experience processing invoices, reconciling statements, etc.
  • Experience in fleet coordinator, inventory management and/or logistics role would be an asset
